Privacy Policy

This website is operated by the AMLD Intelligence Summit team ("AMLD", "we", "us", "our"), organizers of AMLD events, headquartered at EPFL, 1015 Lausanne, Switzerland. EPFL is the Swiss Federal Institute of Technology, a Swiss governmental non-profit organization registered under the enterprise identification number CHE-116.075.613.

We handle your personal data responsibly and comply with the Swiss Federal Act on Data Protection (FADP), its Ordinance (OFADP), the Telecommunications Act (TCA), and — where it applies to us — the European General Data Protection Regulation (GDPR).

This policy explains what personal data we collect and how we use it across our services:

What we collect

Information you give us

Newsletter signup: your email address, first name and last name, plus any optional details you choose to add. Signups are submitted directly to EPFL's newsletter service at newsletter.epfl.ch, where this information is stored.
Event registration: your first and last name, organization, job title, gender, country and email address, plus any optional details you choose to add. This information is shared with our ticketing partner Ti.to and the badge printing company, and stored in EPFL's in-house marketing platform.
Payments: when buying tickets, your name, email address and credit card details go to Ti.to and our payment processor Stripe, who handle the transaction. Stripe never shares your credit card numbers with us, but may share non-financial details such as your name, billing address and the ticket you bought.
Content submissions: when you apply to calls or submit content (workshops, posters, challenges, presentations, startups, etc.), we collect your name, email address, gender, country and organization. This may be stored on Airtable and Google Drive.
Speaker and organizer profiles: your name, email address, job title, organization and profile picture, plus optional details such as social media links and a bio. In some cases we may complete your profile with publicly available information from the web. This may be stored on Airtable and Google Drive, and your profile is published on AMLD websites and apps.
Travel reimbursement: if we reimburse your expenses as a speaker, EPFL's rules require your name, physical address, email address, proof of identity and full banking details. This may be stored on Airtable and Google Drive and is shared with the EPFL Finance Department.
Participant networking profiles: to let registered participants network, we create attendee profiles on our website using your registration details (name, organization, job title), plus anything optional you add. You can opt out at any time by logging in and deactivating the networking feature — you will then no longer be visible to other attendees.
Event app profiles: if we offer an event app, you can optionally add profile information (name, email address, organization, job title, LinkedIn link) and choose whether other attendees and partners can discover you in the app.
QR code badges: your conference badge carries a QR code containing your name, organization, job title and email address, to make networking and follow-up easier. Scanning is entirely voluntary and under your control: by letting another attendee or exhibitor scan your badge, you consent to sharing your contact details with them. We process this data based on your consent and, where applicable, our legitimate interest in enabling professional networking. We do not otherwise share participant data without consent. Anyone who receives your details through a scan is an independent data controller and responsible for their own compliance with data protection law.
Exhibitors: to book a stand, we need your company's name and address plus contact details for the stand manager(s) and a financial contact. This is shared with the EPFL Finance team, the venue and other providers involved in delivering your stand. If you wish to be contactable by participants, we publish your company's contact information on this website and, if applicable, the event app.
Partners: partner companies provide their name and address plus one main contact and one financial contact for processing payment.
Surveys: we may invite you to optional surveys about your event experience to help us improve the event, and for related commercial purposes.
Connected social media accounts: if you connect a social media account to the event app, we may receive information you authorize, such as your title and picture. We may use your connections to suggest people you may know in the app.

Information collected automatically

Our servers record basic technical information sent by your browser or device, such as your IP address, device identifiers, operating system and the time of your request, to operate and protect our services. We do not use analytics or track your browsing activity on this website, and we do not sell your personal data.

How we use your information

Running the events: registering attendees, issuing tickets, sharing information with partners where you have consented, and providing you with relevant connections and content.
Communicating with you: about your registration or involvement in an event, changes to our policies, commercial and partnership matters, and to answer your requests. We may collect information from these communications to improve our services and for the training and development of our staff.
Marketing: if you opt in, we will send you information about future AMLD events. You can opt out at any time via the unsubscribe link in our emails. We may also use photos and audio-visual footage from past events, which may contain your image or voice, to promote AMLD. To object to any of these uses, email us at amld@epfl.ch.

When we send a newsletter, the newsletter tool records delivery statistics: which addresses received it (and for which the sending failed), opened it, clicked links, made a purchase, or unsubscribed. We use this data only for statistics and to improve the newsletter.

Where your data lives

Data we store ourselves lives on EPFL's own secure servers. We also rely on a small number of service providers.

Services we run on

The website itself is hosted on Heroku (Salesforce) in Ireland; as our hosting provider, Heroku acts as a data processor and may process or store certain personal data in accordance with its privacy and data protection terms. Images and PDFs are hosted on AWS (Amazon) in Germany. We use Sentry (Functional Software) in Germany for error monitoring; they receive technical details about failed requests, and never see your IP address or personally identifying information.

Services we work with

We use Airtable and Google Drive, Docs & Sheets to organize event information and records (Airtable's privacy policy, Google's privacy policy). Ti.to manages event registration and ticketing (Ti.to's privacy policy), and Stripe processes payments, including fraud detection (Stripe's privacy policy). The STCC is the event venue; we pass on the personal information of speakers and exhibitors needed to deliver services to them (STCC's privacy policy).

External content

Some resources on this website are fetched by your browser directly from the provider, so the provider receives your IP address and the page you were on. This applies to typefaces from Fontshare (Indian Type Foundry) and Google Fonts (Alphabet), and to video thumbnails and embedded players from YouTube (Alphabet) on pages with videos.

Data security

We use appropriate technical and organizational measures to protect your personal information. That said, no transmission over the Internet is fully secure, and we cannot guarantee your data will never be intercepted or improperly accessed.

International transfers

Some of our providers operate outside Switzerland and the EU, including in the United States, so your personal information may be transferred there. Privacy protections in those countries may differ from your home country's. We transfer data in accordance with the law and take steps to keep it appropriately protected.

Your rights

In certain circumstances these rights may not be absolute, but in general you can:

Access: ask us whether we process your personal information, what we hold, and how we use it.
Correct or delete: ask us to correct, update or delete your personal information. Some data must be kept for a legally required period; we set such data apart and use it only to meet those legal obligations.
Object or withdraw consent: where we process your data based on your consent, you can withdraw it at any time — for example via the unsubscribe link in marketing emails, your profile settings, or by contacting us.
